Visual Arts Collection Campus Loan Program

All requests to return, move, or borrow artworks from McGill's Visual Arts Collection should be made via this form.

Please note that we have a waiting list for all new campus art loans. If you are filling out this form for a new campus loan, your name is automatically added to the wait list. Once Collection staff has dealt with outstanding requests, you will be contacted by a staff member who will arrange a site visit to see your space and discuss your preferences, and then invite you to come choose from what we have available in storage at the time. Wait times for new loans vary according to demand and availability but are generally up to or more than a year long.

If you were looking to borrow artwork for or move/return artwork from a common staff or student in space in your department or unit, for example, you would choose the 3rd option.
Please select only one. If you are looking to both borrow art and return existing loans, please select "Borrow artwork from the Collection" and follow the prompts. If you need to put in requests for multiple office occupants to borrow, remove, and/or move artwork, please submit one form per request.
FOAPAL
Please provide your *FOAPAL here. The McGill Visual Arts Collection does not charge for art loans. However, in order for the Campus Loan Program to remain sustainable, we ask that all borrowers cover the fees for transport and installation of newly borrowed works, transport of returned works, and/or re-installation of works needing to be moved. For this, we require a FOAPAL. Borrowers can generally expect to pay between $75.00 and $100.00 for transport, which is provided by a professional transport company, and between $45.00 and $100.00 for installation, which is typically performed by McGill Facilities. Costs may exceed these amounts and, in general, will vary depending on the nature of your request, your location on campus, and the number and format of artworks to be installed, moved, or returned. *A FOAPAL is the acronym representing the six independent elements of the University's Chart of Accounts: Fund, Organization, Account, Program, Activity, and Location.
The Fund code should be a 6 digit number.
The Organization code should be a 5 digit number.
The Program code is typically a 4 digit number, but may also be a combination of 4 numbers and letters.
The Activity code should be a 6 digit number. You may use the default Activity code "000000."
The Location code should be a 6 digit number. You may use the default Location code "000000."

Wait times for new loans vary according to demand and availability but are generally up to or more than a year long.

Please note that each individual borrower is limited to one (1) request and each request allows for a loan of: one (1) artwork, if the request is for a private office, which includes individual work-space in a shared office or cubicle; a maximum of two (2) artworks, if the request is for common spaces.

If you are looking to borrow art for several individual offices or work-spaces, each office occupant will need to submit a separate request or have one submitted on their behalf.

Artworks in private offices or individual work-spaces are on loan to the individual borrower and are not transferable to others. Should a borrower move offices, the artworks on loan to them must be returned to the Collection or moved to their new space by Collection staff. In no situation are artworks on loan to an individual borrower to be automatically transferred to the new office occupant. Artworks in common spaces are on loan to the unit or department and may remain there unless otherwise requested and agreed upon by space occupants and/or managers.

Please answer "Yes" if you know of any existing artwork from the Visual Arts Collection in the specific space for which you would like to borrow art, even if the works have been there awhile, and were not borrowed by you directly.
Please briefly describe the reason the artwork(s) are being returned or need to be moved. For example, are you moving offices and want to take the borrowed artworks with you? Is there to be construction or renovations work in the area?
If the artwork must absolutely be removed before a certain date, please indicate that date here. This applies, for example, in the event of construction or renovation, office closure, space decommissioning, etc.
